Assign responsibility for prices, return terms and technical details. Track approval and effective dates and keep a clear current version. Knowledge updates should not be an ownerless task everyone assumes someone else will handle.
Verify changes end to end
Re-run related questions after a policy update and check that the old answer disappears, including indexes and caches. Preserve change history to determine whether a past answer was valid when sent.
Learn from unanswered questions
Rank missing answers by frequency and impact. A new paragraph or clarified exception may solve the issue without another tool. Measure policy-update delay and the proportion of questions with a clear approved source.
